Customer Account Management System (CAMS)

Customer relationship management is indeed one of the most important factors in the business equation. It is applicable for the Sales Department to facilitate the process of preparing quotations, obtaining purchase orders from customers, preparing invoices and delivery orders, and keeping a record of payments.

CAMS gives you a 360-degree view of customers, prospects, competitors and your sales force. This empowers you to develop customer-oriented business strategies to serve and retain your customers better. You can boost sales by recording, integrating, and analyzing information across pre-sales, sales, and marketing teams. You can manage your sales force effectively. The data generated in the form of reports enables you to measure market trends and strategize to stay ahead.

The Customer module handles customer data. It stores the details of every customer, which can be used as a reference to users. This module allows users to perform processes such as creating new customers, editing existing customer profiles, and searching for customer details. Every visit made to a particular customer also can be recorded into the system. This customer data will be used for integration with all available systems in the company ERP Suite.

When the sales department has a project, that particular project data has to be key-in into the system. Project module is designed especially to handle all the process regarding project records. Similar as the customer module, user can Add New Project, Modify the project record that are still in OPEN STATUS (project has two status, OPEN and CLOSE), search a particular project detail and update the project detail. Update project is important because the data will inform the team about project status.

RFQ is request from customer to the team, asking for quotation. In this case, the date when the customer make the request and the due date for quotation to be sent to them are consider as important data. For one project, modify and search the RFQ data.

In business process, issuing a quotation is one the most important process. Quotation is a document which the company will send to the customer after receiving RFQ. It contains details about items quote by the company to the customer. In this module, staff can Create New Quotation based on the RFQ that has been submitted. When the staff has finish creating a new quotation, a designated manager will be notified to approve the quotation. Without approval, quotation cannot be submitted to the customer.

Purchase Order (PO) is sent by the customer to the company, stating all the items or task that need to be carry out under certain agreements. Staff has to key in all this information into CAMS in order to keep track of all process transactions. As usual, the system allows three basic processes where the staffs can Add New, Modify and Search PO.

When the company is ready to deliver the goods, it must come with the delivery order. It has features like quotation except DO does not require approval. Usually DO will have similar itemed to the PO. Therefore, the DO is created base on the PO number. DO have two statuses, DO in process and DO submitted. After it has been submitted, the DO can no longer be modified by the staff.

This document is similar to the DO. The only different between invoice and DO is invoice has the price for the goods but DO do not have it. Process of creating invoice also same as DO where user can Add New, Modify and Search Invoice. For Add New Invoice, it has been sub-divided into two where staff can create new invoice based on PO from the CAMS or PO from the TM Touch System.

Payment module keep tracks the entire payment records base on invoice out has been send to the customer, the company will receive payment from the customer. It can be integrated with Financial System for Automated Journal Entry. Finance department staff can Add New Payment based on the Invoice No., Modify and Search for the particular payment. It also can produce report stating the payment status for each project.

This module allows the CAMS user to generate various types of report as reference. It can help the upper level manager to make decision and monitoring the project status.
